Using the portal

2. University, career counselling & application support

  1. QETC is responsible for applying the students to their chosen university (University Application Support) given that they acquired the minimum grade needed for their programme. QETC reviews the student’s academic profile, recommends suitable programmes, and submits the formal application on the student’s behalf.
  2. By paying the application/visa fees, QETC is responsible for reserving the student’s seat in the chosen university until grades are provided. In case the student did not achieve the minimum required grades to enrol, the seat will be reserved for the following intake. In some universities, entry requirements may not always apply, and a case-by-case evaluation can be considered for borderline grades.
  3. QETC is NOT responsible for any delay caused by the university, the immigration authorities, the student, or any other external factor outside QETC’s direct control.
  4. Students MUST submit their admission and visa documents to the QETC Student Support team exactly as requested. Failure to abide by the given criteria will result in the delay of the application or the visa process. Documents must be sent via the QETC Student Support email or the official WhatsApp group only — documents shared via personal channels are not officially logged.
  5. Initial university tuition fees MUST be paid before the student travels to Malaysia. Fees should be sent directly to the university bank account through a bank transfer, the university portal, or Flywire. Proof of payment must be shared with QETC Student Support within 48 hours of the transfer. Tuition payment is between the student and the university — QETC does not collect or hold tuition fees.
  6. Students MUST abide by the rules and regulations of the university, read their handbooks carefully, attend the orientation day (online or physical), and attend all classes. Failing to attend more than 3 classes in one subject may result in failing the student and barring them from the final exam, which can result in visa renewal rejection.
  7. Students MUST check their emails in their inbox/spam folder regularly and follow the instructions given by their university. Missing a university email is the student’s own responsibility.
  8. QETC is responsible for assisting the student with the student visa application — preparing, submitting and tracking the visa documentation through the EMGS stages (EMGS submission → eVAL approval → eVisa / Single-Entry Visa (SEV) issuance → entry visa stamping on arrival). QETC provides EMGS status updates to the student and parent at each major stage.

3. Payments

  1. Application and visa fees are to be paid via the university portal or Flywire (payable by Visa or MasterCard). QETC does not accept cash, cheque or bank deposits for application/visa fees.
  2. Application and visa fees paid to a certain university are NOT transferable to another university. Switching universities after payment will require a new application and a new set of fees.
  3. Application and visa fees are STRICTLY NON-REFUNDABLE under any circumstances, including (without limitation): change of mind, visa rejection due to incomplete or fraudulent student documents, failure of the medical checkup, or withdrawal at any point in the process.
  4. The student MUST read the university’s payment and refund policy before making any payment. Tuition fee refund decisions are made solely by the university and are outside QETC’s control.
  5. Certain nationalities may be required by the Malaysian authorities to pay an additional non-refundable NOC (No Objection Certificate) fee of approximately 230–240 RM. Sudanese applicants, in particular, must pay this NOC fee. This fee is charged by the relevant authority, paid separately (typically via Stripe), is not included in any QETC package price, and is strictly non-refundable once the application is submitted to the institution.
  6. Package and visa-related payments are processed through QETC’s authorised online payment rails: Stripe, Flywire and Tabby (SAR instalments). The student is responsible for any currency-conversion fees, bank fees or payment-processor fees charged outside QETC’s control. Proof of payment must be shared in the WhatsApp group or with QETC Student Support before the payment is considered received.

4. Scholarship application assistance

  1. QETC is responsible for applying students to any scholarships they are qualified for at their chosen university. QETC will identify suitable scholarship options, prepare the application package, and submit on the student’s behalf.
  2. QETC is NOT responsible for the result of the scholarship interview or the percentage of any interview-based scholarship awarded. The amount and approval of a scholarship are entirely under the discretion of the university’s scholarship committee.
  3. Students MUST acquire and maintain the minimum grade needed to apply for or renew the scholarship. The student must read the university’s scholarship rules and regulations and is responsible for understanding ongoing eligibility criteria. Loss of a scholarship due to academic underperformance is the student’s responsibility.
