Privacy Policy — QETC Student Portal

Last updated: 18 October 2026

This Privacy Policy explains how QETC Education & Training Consultancy (“QETC”, “we”) collects, uses, stores, shares and protects your information when you use the QETC Student Portal at https://qetcme.com, our event registrations and our contact forms.

1. Who we are and how to contact us

QETC Education & Training Consultancy, head office: T3-08-05, 3 Towers, Jalan Ampang, 55000 Kuala Lumpur, Malaysia. Privacy questions and deletion requests: [email protected].

2. Google user data

2.1 Data we access

When you choose “Sign in with Google”, the QETC Student Portal requests only Google’s basic sign-in scopes (openid, email and profile). We receive from Google: your name, your email address and whether it is verified, and your Google account ID. Google may also send a link to your profile picture; we do not store it. We do not request any sensitive or restricted scopes, and we do not access your Gmail, Google Drive, Calendar or contacts.

2.2 How we use it

We use your name, email address and Google account ID only to create your QETC Student Portal account, sign you in, and contact you about your application. We do not use Google user data for advertising or marketing profiles, and we do not use it to train AI models.

2.3 How we store and protect it

It is stored in the QETC Student Portal database on our servers, sent only over encrypted connections (HTTPS), seen only by the QETC staff working on your application, and kept in encrypted backups.

2.4 Whether we share it

We do not sell Google user data or transfer it to third parties, except: the university you apply to and EMGS (your name and email as part of your application, at your request), and the hosting and email providers that run the portal for us. Google user data is not sent to advertising or measurement tools (Meta Pixel, Smartlook or Microsoft Clarity).

2.5 Retention and deletion

We keep it while your account exists. You can ask us at any time to delete your account and the Google data linked to it by writing to [email protected]; we delete it within 30 days unless the law requires us to keep it. You can also remove the QETC Student Portal’s access in your Google Account permissions.

2.6 Limited Use

The QETC Student Portal’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

3. Other information we collect

4. How we use this information

To apply to universities and scholarships for you, follow your student visa, arrange accommodation, airport pickup and support after you arrive, send verification codes and updates by email and WhatsApp, answer your questions, and improve the website and measure our advertising.

5. Who we share it with

The university you apply to, EMGS and the Malaysian authorities; and service providers that work for us: hosting (Hostinger), payments (Stripe), email and WhatsApp (our SMTP provider and Sendwo / Meta), reading the expiry date from your passport photo (Anthropic — the passport image only, never Google data), appointments (Calendly), customer management (Pipedrive), and visit measurement (Meta Pixel, Smartlook and Microsoft Clarity). We never sell your personal information.

6. Cookies and measurement

We use browser storage to remember your preferences and how you reached us. Smartlook and Microsoft Clarity record sessions on public pages; they hide what you type on your account and application pages and never records passwords. The Meta Pixel measures the results of our advertising.

7. Keeping and protecting your information

We keep application information for as long as your application and studies need it and as the law requires, then delete or anonymise it. We use encrypted connections, limit access to the staff working on your application, and scan uploaded files for viruses.

8. Your rights

You can ask to see, correct or delete your information, withdraw your consent, or stop marketing messages by writing to [email protected].

9. Students under 18

Students under 18 apply with their parent or guardian’s consent, and the parent or guardian signs the QETC Student Services Agreement.

10. Changes

We may update this policy and will show the new date at the top of this page.
